                     July 20, 2003 Minutes

 

 

President John DeFilippo called the meeting to order at 2:50 p.m.

 

Minutes of the April meeting were handed out at check-in for all to read. A motion was made to accept the minutes as printed by Lynn Brooks. The motion carried.

 

Nelly Pena gave the treasurer’s report. There is presently a balance of $1831.00 in the account with $1040.00 from membership dues. Nelly also stated that annual membership dues are $20.00 per family of present cadets or $10.00 for families of graduates and the year runs from August to August. Nelly also explained how name tags are color coded according to class year and that the colors rotate from graduating year to freshman year.

 

John spoke about the Rando Fund which was created to be used to help defray expenses for cadets to attend funerals of classmates, to help cadets get home for family emergencies, etc. Our association usually donates approximately $1,000.00 per year, or $250.00 per quarter. Motion was made by Lynn Brooks for association to pay the quarterly donation, seconded by Karen Coffman.

 

Suzie Phelps gave notice to the membership that next meeting will be October 19, 2003 at Nit Noe Thai Restaurant, 850 FM 1960. Cost will be $8.50 per person which includes a $1.00 tip. Families are requested to bring candy, granola bars, etc. to put in Halloween treat boxes to be sent to our cadets. Boxes will be furnished.

 

Matt Godar announced to the membership that it is acceptable to communicate through the website and that he can put the membership roster on the website which can be accessed by a special code.

 

John announced that one of our members, Steve Voorhies, who is also a pilot for United Airlines is trying to arrange a charter flight for our cadets to come home at Thanksgiving. News about the feasibility of this flight will be posted on website.

 

Mike Berry gave an update on the tailgate for Parent’s Weekend and explained to new parents about the tailgate - gathering to meet either before or after the game to socialize and get to know each other. Volunteers are needed to help setup, cook, clean up. Mike has sign up sheets for the volunteers. Our tailgate will be set up at Lot 3, space 6, next to the San Antonio association. Discussion was had on whether to have the tailgate before or after the game - pros and cons of each were discussed. The membership voted to have tailgate after game.

 

John told the membership that this year’s group was the largest our association has had to attend the game at Parent’s Weekend. Our seats will be in Section M-19, rows H-Q. If anyone needs more tickets they can call the USAFA ticket office, 800-666-8723.

 

Frankie Berry gave an update on the joint military academies ball to be held on December 26 from 6 p.m. to midnight at the Westin Galleria. The ballroom at the Westin is larger and will hold 850 people; the reception area will be larger which will make socializing easier and appetizers will be served in the reception area. The ball is a family event - cadets and their dates along with their families may attend. Group photos will be offered this year in addition to the usual cadet/date or cadet/family photos. Navy is hosting this year. Sponsorships are needed to provide prizes for the cadets. Karen Coffman asked membership to assist in getting sponsors. Invitations will be sent out in late November.

 

John yielded the floor to Barbara Westmoreland who spoke to the group about the “Mentor Mom” program. “Mentor Moms” for this year are Diane Ayers (Prep School), Debbie Lucky, Mary Waltrip, Jan Dubose, Cheryl Bruyere, Frankie Berry and Karen Coffman.

 

Class Representatives for each class are: 2004-Finches and Phelps; 2005-Goddars; 2006-Penas; 2007-Mays.

 

Major Gary Morgan and Major Kathy McDonald, ALOs for our association were present to welcome new parents and to talk about changes at the Academy this year. The ALOs work with the parents to help translate military to the lay person; give presentations on career opportunities for our cadets, explain military bureaucracy. There are 20-30 ALOs in the SE Texas area. Spoke about how academy is different from other colleges; “Grassroots Program” - opportunity for cadets to go to schools in their home towns and talk about USAFA.

 

With no further business to come before the meeting, motion was made and seconded to adjourn. Motion passed. The General Meeting ended at 3:50 p.m.

                      BOARD OF DIRECTORS

             SETXUSAF Academy PARENTS’ ASSOCIATION

                         JULY 20, 2003

 

On July 20, 2003 @ approximately 5:00 p.m., a meeting of the Board of Directors of the SETXUSAF Academy Parents’ Association was held. The meeting was called to order by President, John DeFilippo.

 

John spoke about the association’s low monetary funds and ways to cut expenses. After discussion by the board, it was decided that one quick, temporary fix to the problem would be to temporarily reduce our donations to the Rando Fund from $1,000.00 annually to $250.00 annually. It was therefore,

 

RESOLVED that the SETXUSAF Academy Parents’ Association would hereafter make a annual donation of $250.00 to the Rando Fund.
